Privacy policy

Foundry Productions is committed to ensuring the privacy and security of your personal and business information. 

Types of information held on file: In the course of our work together with you as our client, Foundry Productions maintains a record of your business profile, including details of your staff, including name, title, phone and email, project quotations, project invoicing and any information necessary for carrying out the activities we perform for you in the course of our project work. We also hold assets provided by you, or on your behalf, to perform any works for you including, but not limited to, images, video files, logos, style guides, graphic design and website working files. Foundry Productions may also maintain records of any recommendations or advice given to you.

Consent forms for talent: When working on corporate video, digital, web, print or photographic content, it is your responsibility to obtain all appropriate permissions prior to filming, including consent from parents where children are involved and provide supporting evidence to Foundry regarding the people who feature in your projects. Copies of working files as well as final and approved film and digital content are held on Foundry’s archives for a minimum of two (2) years or in line with any contract agreements agreed with you at the start of each project. Files are held for work purposes on password-protected storage drives. 

Information security: All our files are securely kept and used on password-protected drives and file-sharing platforms, used only for our mutually agreed project work. 

Non-disclosure: Foundry uses a small number of sub-contractors who have access to parts of your information for the purposes of completing agreed projects. They agree to the confidentiality of your business and personal information and use password-protected drives and software to work on your projects for Foundry. When requested all our contractors sign a Non-disclosure Agreement before working with Foundry Productions. 

 No third-party access: Foundry Productions does not provide your information to any other clients or third-party organisations and we will never sell information about individuals or companies.

 Accessing your information: Copies of working files as well as final and approved project files are held on Foundry’s archives for a minimum of two (2) years or in line with any contract agreements agreed with you at the start of each project. Files are held for work purposes on password-protected storage drives. 

You can request a copy of your working files and request information corrections and updates at any time by contacting Foundry’s Director, Eleanor Blaney on email: el@foundryproductions.com.au or phone: +61 (0)400 096 990 – fees and charges apply for supplying working files (for example InDesign, photoshop and/or Illustrator files) at any time unless agreed to with you at the start of each project.

 Information audit: At the outset of each individual project, Foundry assesses the types of information that will be handled. If there are additional risks involved, measures will be agreed with you – for example, use of encrypted files, password-protected file-sharing software, and any other new remote working methods that become available and are suitable for your project. Foundry undertakes an annual audit of our working files including drafts, disapproved and unpublished project work and securely destroys project information that is no longer needed for work project purposes. When instructed in writing, Foundry will also delete any files requested by you. Foundry does not notify companies when their files are destroyed. 

 In line with Australian Privacy Principles (APPs) best practice, Foundry reviews our Privacy policy regularly. Any updates will be publicised on our website.  Social Media Policy

 Foundry Productions communication updates: If you follow Foundry on social media, you can expect to receive regular updates on Foundry’s work and specific projects for our clients. If you ‘opt in’ to Foundry updates by email (by subscribing by providing Foundry with your email address from our website) you are agreeing to receive promotional emails from Foundry, including email newsletters about us and our work. You can opt out at any time by clicking the ‘unsubscribe’ link at the bottom of email newsletters.

Project content that relates to you: If you’re a client, Foundry Productions will feature your name or project before, during or after project approval in social media, digital, printed promotional and advertising material as well as public relations for the purpose of promoting our products and services with your consent. 

 Inappropriate content: Foundry Productions welcomes use of social media for our clients and followers to provide feedback and connect with customers. However, we will block all users and remove or edit posts of content that is offensive, discriminatory, threatening or abusive, or that infringes copyright, or that are unlawful in any way. 

 External site downtime: Social media groups – Facebook, Twitter, Pinterest, and other sites we may use to promote our client’s work – may occasionally face technical difficulties resulting in downtime that is beyond Foundry’s control. Foundry does not accept responsibility for any loss of service due to such technical faults and downtime.
